JOB SUMMARY
The Assistant Registrar supports the Office of the Registrar by assisting with student records management, course registration, academic scheduling, and compliance with institutional and regulatory policies. This position plays a key role in ensuring the accuracy of academic records, facilitating enrollment processes, and collaborating with faculty, staff, and students to enhance the efficiency of registrar-related functions. Additionally, the Assistant Registrar is responsible for processing requests from the registrar email inbox in a timely manner to ensure effective communication and service delivery. This position is required to work on-site three days per week, with the option to work remotely for the remaining days.


KEY RESPONSIBILITIES
- Assist with managing the technical issues of the Schedule 25 system as they occur and provide end users with assistance as needed.
- Create new and edit existing training documents for the faculty and staff related to the Records/Registrar sections of Colleague and Schedule 25.
- Create, manage, and maintain record-keeping and data production as it relates to the SIS.
- Accumulate, prepare, and disseminate historical and current retention and graduation data and other appropriate reports as needed.
-Assist with the development of the academic course schedule in collaboration with academic departments.
- Assist with the outgoing correspondence and communication with students related to Academic Standards decisions.
- Assist in preparing and monitoring semester grades and grade changes.
- Assist with the registration process, processing transactions as needed.
- Assist in the preparation and distribution of all registration information to faculty and student body.
- Process and distribute class tallies and rosters at the appropriate times during the semester.
- Assist with processing adds, drops, and program adjustments as needed.
- Assist in the day-to-day duties of providing registration and records information and service to the faculty and administrators.
- Assist with organization and preparation for graduation, and at the graduation ceremony.
- Processing transcripts, letters, education verifications and diplomas request.
- Assume other responsibilities at the discretion of the VP/Dean and Registrar.
- Other duties pertaining to the Enrollment Services Office as assigned.


SKILLS/REQUIREMENTS
-Student Information Systems (SIS): Proficiency in Banner, PeopleSoft, Colleague, or similar platforms.
-Data Management & Reporting: Ability to maintain accurate student records and generate faculty reports.
-Microsoft Office & Database Software: Excel, Word, Access, and Google Suite for managing academic data.
-FERPA Compliance: Understanding of privacy laws governing student records.
-Academic Scheduling Software: Familiarity with 25Liveor other scheduling tools for course planning


EDUCATION
-Bachelor’s degree in Higher Education Administration, Business, or a related field.
-Minimum of 2–4 years of experience in a Registrar’s Office or related area in a higher education institution.

Pay range: $55,000 - $60,000
